Before you officially apply for Brook Con Artist Alley, please be aware of our rules and restrictions to ensure all artists have a successful and enjoyable event:
- All vendors must receive a vendor permit from Stony Brook University by submitting your NY Sales Tax ID and required insurance documents to SBU.
- All banners/displays must be free standing, single-sided and only a few inches deep. Please make sure that the tops of all banners/displays are no more than 8 ft tall (from the floor); please keep in mind that tables are 6 ft long when measuring your display.
- Displays cannot obstruct the visibility of other tables.
- The sale of stolen artwork is strictly prohibited.
- All artwork displayed needs to be the work of a creator who is present at the table; do not display the work of an artist who is not present at the show.
- All displayed artwork must be kept to a PG-13 rating.

REGARDING R-18 ARTWORK
Sexual and overly violent artwork is allowed to be sold but is NOT allowed to be displayed openly. All displayed artwork must be kept to a PG-13 rating.

NY SALES TAX ID AND INSURANCE
In order to sell goods on campus, you must obtain a vendor permit from FSA at Stony Brook University, which requires vendors to submit the following:

To obtain a vendor permit from FSA, you must submit this form and the required insurance listed to [email protected]. Additionally, you will have to pay the fee for vendor permits for recognized student organization events (Brook Con) which is $47.06.
The following items may be sold:
- Items featuring original content.
- Fan art and other fan crafts made by the artist based on a licensed, copyrighted material.
The following items may NOT be sold:
- Items featuring art copied or taken from another artist. Editing, tracing, or copying another artist’s work is considered plagiarism.
- Items featuring official artwork. The sale of promotional materials, logos, screenshots, and other assets of official artwork of a licensed material is prohibited.
- Items featuring images created using AI image generation.

- It is illegal for minors to purchase R-18 goods. You must check the ID of EVERY PERSON who wishes to view and buy R-18 goods.
NY SALES TAX ID AND INSURANCE

- their NY Sales Tax ID and the New York State Certificate of Authority that comes with it
- Commercial general liability insurance, product liability insurance, and business automobile liability (only if using a vehicle on campus).
According to the SBU FSA vendor permit terms and conditions:
- "Vendors at his/her own expense shall obtain a sales tax collection number from the State of New York, Department of Taxation and Finance. Vendors must submit a copy of their New York State Certificate of Authority to collect sales tax on taxable sales along with the completed FSA Application for Vendor Permit."
- "Vendors are required to carry appropriate insurance, including product liability insurance, vehicle insurance (for vehicles used on campus), and commercial general liability insurance. Vendors must submit a Certificate of Liability Insurance (ACORD-25 Form) along with the completed FSA Application for Vendor Permit. The Vendor's Certificate of Liability Insurance must include the following additional insured language:"
- "The Faculty Student Association, the State University of New York at Stony Brook, the State University of New York and the State of New York are included as additional insureds under the Business Automobile liability, Commercial General Liability and Product Liability Insurance policies to include severability of interest clause with respect to claims, demands, suits, judgement, costs, charges, expenses arising out of, or in connection with any loss, damage or injury resulting from activities of the vendor, its agents, representatives and employees, waiver of subordination included.

Artist Alley Provisions
The convention will provide some supplies to accepted artists as part of tabling. Along with free admission to Brook Con, every accepted artist is guaranteed these supplies:

If you are a current matriculated Stony Brook University student, then along with the supplies that are guaranteed to be given to every artist tabling you also receive additional provisions:
- One 6 foot table
- Two chairs
SBU STUDENT ARTISTS
If you are a current matriculated Stony Brook University student, then along with the supplies that are guaranteed to be given to every artist tabling you also receive additional provisions:
- Get added into a private discord server dedicated to helping and organizing the SBU students tabling at the artist alley
- Grid cubes to borrow
- Binder clips to borrow (to hold up goods on grid cubes)
- Cable zip ties (to provide more stability to grid cubes)
- Access to Animated Perspective's 1" button maker along with materials to make buttons
